Please read this small print section which governs our agreement with you. We ask you to confirm you have read all this information by signing when sending in the booking form. We draw particular attention to the insurance section. Despite all the serious stuff that we have to include below, we hope you will have a really brilliant Christian holiday with us!
Our commitment to you
We try to represent the holidays to you in a true and straight forward way. Where you are not happy with the service please tell us and we can normally resolve things. In any case, we would like you to write to us within 14 days of the end of the holiday with full details of your reason for writing. All holidays advertised by us are operated by Gold Hill Holidays Limited (herein, 'we' or 'the company'). We are a company registered in England No. 4397484 at Hobbit Hollow, Bull Lane, Gerrards Cross, Bucks. SL9 8RZ.
A booking is considered an offer under contract law in whichever form it arrives in the booking office and is read by a member of our office staff. A booking is only accepted when you receive a written confirmation of booking. We endeavour to accept bookings in the order which we receive a complete booking form and deposit. Please do not book any travel arrangements before we confirm your place as we cannot be held liable for any costs you have incurred. At the time of booking you will need to pay a non-refundable deposit according to our pricing structure in existence on the day of acceptance as advertised on our website.
Where we have a valid email address for you then we will use this and the phone to contact you. Where more than one person is named on a booking, we will assume that the party leader is the first name on the booking and will conduct all communication through this person. This person must be at least 18 years old and possess the legal capacity and authority to make the booking and accepts these booking conditions on behalf of everyone in their party. When booking in this way, other persons named on the booking, must consent to the main person making decisions on their behalf.
If you have to cancel your booking, we operate the following scale of charges from the date we receive your cancellation in writing:At least 56 Days – Deposit Only55-29 Days – 30%28-15 Days – 45%14-1 Day(s) – 60%On the day – 100%
It may be possible to claim for a refund from the Travel Insurance that we provide which is included in the original price. Further information is found in the insurance section of this website.
If we have to cancel: We aim for each group to have a minimum of 35 people to make running the holiday viable, though we reserve the right to cancel a holiday for any reason. We will give two months notice in the unlikely event of us having to cancel a holiday (unless due to "force majeure" in which case we will inform you as soon as possible) and we will always offer a full refund or an alternative. Your decision about which option to accept must be made as soon as possible after we notify you.
Circumstances amounting to "force majeure" include any event which we could not even with all due care, foresee or forestal such as by way of example, but not limited to: war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire, acts of God, adverse weather conditions and all similar events.
The full balance is due at least 2 months before the departure date of your holiday. If you fail to pay the balance at least 2 months before the departure date of your holiday, we reserve the right to cancel your booking and retain your deposit. We will always do our best to contact you before taking any action.
All your payments are kept in a Trust Account until after the completion of your holiday. This protects you and your money in the unlikely event of insolvency, ensuring a full refund and repatriation. The name and address of the person administering our Trust Account can be obtained from our office. Should we need to refund your money, we will not pay interest to you.
For many the attraction of our holidays is enhanced by the all-inclusive price. It is our desire to stick by this wherever possible. However, we reserve the right to pass on any changes in currency exchange rates over 2% from the rate on 1st June prior to the holiday. The prices and amendments will be calculated by us and invoiced with your confirmation at least 30 days before the commencement of the holiday. Any queries should be raised with us within 7 days of us sending this confirmation.
Before your booking is confirmed and a contract comes into force, we reserve the right to increase or decrease brochure prices. Where we have to make changes to the price other than those due to currency fluctuations, we will write to you by post or email and explain the reason for the price change. You have the right to withdraw from the contract at this stage if you do not accept the price revision. The contract will exist when you have accepted or not objected, within 7 days, to the revision and been re-invoiced.
We reserve the right to impose surcharges once you have booked but no surcharges will be imposed within 30 days of departure and any downward revision in the price will be refunded to you. Surcharges will only be imposed for variations in a) transport costs, including cost of fuel, b) dues, taxes or fees chargeable for services such as disembarkation fees at ports or c) the exchange rate applied to the booking. Such surcharges will be calculated using the FT rate of exchange on the day at which the price change notification letter is issued to you.
We require you to inform us of any health problems you may be experiencing or any medication you are taking. In some instances this may invalidate the insurance cover in which case we would require you to take out your own travel insurance. You need to be in good health and fit to undertake these holidays and not travelling against medical advice.
A policy with Gold Cover Travel Insurance (GCWS07) is included, once your deposit is paid, for all Swiss holidays. When it is a skiing holiday, then it is the "Winter Sports" policy. We are obliged to ask you to read the policy wording (by clicking here). The cover which is included in our European holidays is only available to UK residents. Non-UK residents must inform us and arrange their own insurance. You must inform us of any serious pre-existing medical conditions which may affect the validity of this insurance for travel. Where you are travelling against medical advice or with a pre-exisiting medical condition note that the insurance terms may be invalidated and you may not be insured. You must inform us in writing in advance of the holiday if this applies to you. In addition, you must carry a European Health Insurance Card (EHIC) at all times when you travel which you can get at the department of health website, by phoning 0845 606 2030 or get a form from the Post Office.
You will require a full and valid UK passport. Application forms are available from any Post Office. You must ensure this is valid in advance of the holiday. Should you need to cancel due to an invalid passport, this falls within our normal scale of charges due and the amount may not be covered on insurance. Where your passport is found to be invalid, we reserve the right to leave you at the border to transport yourself home at your own expense.
If you are not a UK citizen you will need to inquire from your embassy whether you need a visa for any of the countries we travel through. These are England, France, Belgium, Luxembourg and Switzerland. Where you do not obtain the appropriate visas for the holiday, we reserve the right to leave you at the border to transport yourself home at your own expense.
A general indication is given for each holiday which includes the type and style of accommodation used, what is included in the price, passport and visa requirements, health formalities, itinerary and available activities. Changes in any of these items may be made at any time and we will notify you of any changes as soon as we are reasonably able to do so. Such indications should be taken as an idea of what is available, but we may not be able to offer everything when on the holiday, due to weather, instructor availability, or for other reasons. The indication given for each holiday must be taken as an indication of what each group may accomplish and not as a contractual obligation on the part of the company. Changes in itinerary may be caused by local political conditions, cancellations, breakdown, weather, border restrictions, sickness or other unforeseeable circumstances.
If you are dissatisfied with any aspect of the holiday please speak to our team in resort so we can deal with any problems. If you are still unhappy we would ask you write within 14 days of the holiday giving full details.
On an active holiday it is necessary that you follow the guidance of the leader, who represents the company. If you commit any illegal act when on holiday or if in the opinion of the leader your behaviour is causing or likely to cause danger, distress or annoyance to others we may cancel your travel arrangements without liability on our part. If you have any condition, medical or otherwise that might affect your or other peoples enjoyment of the holiday, you must advise us of this at the time of booking.
Our responsibility does not commence until the appointed time and we shall not be responsible for any additional expenses incurred by you to meet up with the group.
Your details will be held on a protected, computerised database, registered under The Data Protection Act, which we will not in any circumstance sell or give to other parties. Regarding our data protection and use of the website, see terms and conditions.
Any information or advice provided by the company on matters such as permits, visas, EHIC, passport applications, trains, planes, climate, clothing, baggage and personal insurance is given in good faith but without responsibility on the part of the individual or company. It is your responsibility to check with your doctor at least two months prior to travel for the latest health requirements, recommendations for your destination and any costs.
The lead name on the booking is entirely responsible for ensuring that all members of the group have the correct and valid documentation for travel. We cannot accept responsibility for any failure to comply resulting in any costs or fines being incurred and we advise you to check with your passport office or the consulate in question if you have queries. We will pass through controls of other countries enroute so this should be allowed for with any passport/visa applications.
Any likeness or image of you secured or taken on any of our holidays may be used by the company without charge in all media (whether now existing or in the future invented) for bona fide promotional or marketing purposes, including without limitation promotional materials of any kind, such as brochures, slides, video shows and on websites.
Accommodation is allocated on a first come first served basis, but we will try to find the right accommodation for the people in your party. Mixed gender accommodation is only available for married couples or families and we ask you to reserve these with the appropriate supplements at the time of booking.
Smoking and Alcohol
Out of respect for all members in the group, we operate a smoke and alcohol free environment in all our accommodation. Most of our chalets are situated near to a variety of bars and hotels.
Skiing, walking and all mountain and water based activities are potenatially hazardous. We try to mininmize your risks wherever possible and you can also help yourselves by following some of the health and safety advice contained in this website. But ultimately there are risks in these activities, which may be one of the things that draws people to them.
Your booking is accepted on the understanding that you realise the hazards involved in this kind of holiday, including death, injury, disease, loss or damage to property, inconvenience and discomfort. By making a booking you agree that the company is not liable for any death, injury, disease, loss or damage to property, inconvenience and discomfort or any other such losses except where we cannot disclaim by law such as through negliegence.
Ski Equipment rental agreement
Where you hire our ski equipment, we use the raw information of height, weight and shoe size supplied to us on the booking to determine the length of skis and poles, size of boots and binding release setting. It is your responsibility to ensure we have the latest information with which to set your bindings. When supplying us your information and making a booking with a request to hire our ski equipment, you also adhere to the standard Salomon terms of hire which are as follows:
I understand that the binding system cannot guarantee the user's safety. In downhill skiing, and skiboarding with ski boards equipped with release bindings, this binding system will not release at all times or under all circumstances where release may prevent injury or death, nor is it possible to predict every situation in which it will release. In snowboarding, cross country skiing and skiboarding, with skiboards equipped with non release bindings, the binding system will not ordinarily release during use; these bindings are not designated to release as a result of forces generated during ordinary operation.
I understand that the sports of skiing, snowboarding, skiboarding, snowshoeing and other sports (collectively: ‘Recreational snow sports’) involve inherent and other risks of injury and death. I voluntarily agree to assume all risks of injury or death that may result from these recreational snow sports or which relate in any way to the use of this equipment.
I understand that wearing a helmet, designed for recreational snow sports, will help reduce the risk of some kinds of injuries to the user at slower speeds. I recognise that serious injury or death can result from both low and high energy impacts, even when a helmet is worn.
I agree to release and hold harmless the facility servicing this equipment, its employees, owners, affiliates, agents, officers, directors and equipment manufacturers & distributors and their successors in interest (collectively ‘Providers’) from all liability for injury, death, property loss & damage which results from the equipment user's participation in the recreational snow sports for which the equipment is provided, or which is related in any way to the use of the equipment. I further agree to defend & indemnify the providers for any loss or damage including any that results from claims or lawsuits for personal injury, death, property loss & damage in any way related to the use of this equipment. This agreement is governed by the law of England and Wales.
Ski Equipment damages
The first set of equipment is insured for damages. We reserve the right to charge £60 for each damaged ski, £150 for a damaged snowboard, £10 per damaged pole and £50 for damaged boot at the end of the holiday.
